SECRETARY
Typing speed should exceed 60 words per minute (net).
Knowledge of Microsoft WORD tm is mandatory.
Knowledge of other software programs such as Excel tm and Access tm would be an asset.
The Secretary should possess qualities of neatness (in both personal attire and upkeep of desk), attention to detail, and professional voice etiquette (both in telephone conversations and within the evaluation center),
Ability to work unsupervised for extended periods of time and the ability to work independently until supervisors are readily available for assistance.
Ability to travel and work at multiple FACTS locations is required.
Job requirements and specific duties include:
- Type reports from dictation (on a daily basis) through word processing system.
- Type client billing for all departing clients.
- Type and email various forms, correspondence, letters, and requested rough drafts, confirmation letters.
- Answer telephone and email.
- Welcome counselors and guests.
The primary focal points of the Secretary's duties revolve around typing of reports and preparing final drafts to be available to evaluator and Counselor at the time of the exit conference. The Secretary is an integral part of the managerial, clerical function, and should report to their supervisor with cost and time efficient suggestions concerning clerical and office functions. It should be noted that at a number of the FACTS locations, the Secretary also shares the duties of the Vocational Technician or, in fact, plays a dual role of performing both roles.
Secretary Questions:
- Other than English, do you speak any foreign language? If so, which?
- Are you computer fluent in Microsoft WORD, and have a minimum typing speed of 60 wpm?
- Are you computer fluent in Access or any other data management programs? If so, specify which.
